I. GENERAL SUMMARY
The Sales Assistant is responsible for assisting and supporting the Sales Department with quotes, bookings, invoices, charges and deposits.
II. SPECIFIC DUTIES
(Essential Functions)
· Processes charter invoices and mails out three weeks in advance of the trip.
· Processes credit card charges for charter deposits or balances.
· Creates daily deposit sheet and scans checks for e-deposit. Reconciles daily deposits.
· Books charter reservations using Coach Manager system.
· Handles customer calls for quotes, and enters quotes into Coach Manager system.
· Files charter Hard Copies and Acceptance Sheets.
· Creates and mails thank you cards to clients.
· Responsible for handling confidential information on a frequent basis.
· Complies with company scheduled hours.
· Works in excess of normal working hours as workloads and seasonal activities are encountered.
· Complies with company and safety policies and procedures.
(Marginal Functions)
· Requests itineraries for charters for Omaha sales staff.
· Handles miscellaneous sales projects.
· Contributes to process improvement on a regular basis.
III. JOB QUALIFICATIONS
A. Education
Communications, Marketing or Business Degree preferred
B. Experience
0-2 years sales/marketing experience.
C. Knowledge, Skills and Abilities
· Strong written and verbal communication skills. Must possess excellent interpersonal and customer service skills
· Strong correspondence writing skills
· Strong organization and time management skills
· Proficient with Microsoft Office products (including Microsoft Word, Excel, Power Point). Willingness to learn new software programs as needed in a timely manner.
· Must have a clear concept of how to reconcile/balance an account
· Ability to maintain confidentiality
· Ability to pay attention to the minute details of a project or task
· Ability to perform work accurately and thoroughly
· Ability to act calmly under stress and strain and to handle multiple projects under pressure
· Ability to work independently with minimal supervision

Receives and follows oral, e-mail, faxes and written instructions from manager and Charter Sales Coordinator. Work is directly supervised by the Sales/Marketing Manager.
Work is monitored by source of instruction. Work is mainly self-verified.

V. RESPONSIBILITY
A. Responsibility for materials, equipment, records and reports
Materials include: Client credit cards, computer print outs, mail, phone directory, and sales forms.
Equipment includes: Computer, copy machine, fax machine, printer and telephone. Software includes: Coach Manager, Excel, Microsoft Word, PowerPoint, Email, Yourpay, and Checkscan
Records and Reports: Various sales reports, phone lists and sales and charter records.

· Determines how to handle and direct sales calls
VI. WORKING RELATIONSHIPS
A. Internal
Frequent contact with Omaha sales staff and occasional contact with other company sales staff.
B. External
Contact with clients and new business clients regarding quotes, charter information and client concerns.
VII. WORKING ENVIRONMENT
Normal working conditions with little exposure to excessive noise, dust, temperature changes and the like. Due to multiple priorities, environment may be stressful at times. Employee will be subject to constant interruptions by current and potential clients, multiple priorities and frequent changes.
