Executive Assistant

We have a career opportunity for an Executive Assistant.  The Executive Assistant will provide comprehensive administrative and operational support. This role requires a high level of professionalism, discretion and the ability to handle sensitive information. The ideal candidate will be detail-oriented, posses strong communication skills, and have the ability to manage multiple tasks efficiently. A fast-paced, team-oriented role which will primarily assist Senior Management with administrative support, proposals, reports, and other tasks as necessary, including:

  1. Financial Reporting and Analysis:
    • Assist in the preparation of annual and project financial statements, reports and budgets.
    • Conduct financial analysis and prepare summaries for Senior Management.
    • Support Senior Management in preparing for board meetings and other executive presentations.
  2. Administrative Support:
    • Conduct research and compile data to support Senior Management’s decision-making.
    • Organize and maintain electronic files and records, ensuring they are up-to-date and easily accessible.
    • Handle confidential information with discretion and maintain the highest level of confidentiality.
    • Manage Senior Management calendar, schedule meetings, and coordinate travel arrangements.
    • Prepare and edit correspondence, communications, presentations, and other documents.
    • Handle incoming calls, emails, and other communications on behalf of Senior Management.
  3. Project Management:
    • Coordinate and manage special projects as assigned by Senior Management.
    • Track project progress and report on milestones and deliverables.
    • Collaborate with other departments to ensure project alignment with organizational goals.
    • Assist Senior Management with Purchase Orders, contracts and other agreements.
    • Other duties as assigned by Senior Management

What we are looking for:

  • Bachelor’s Degree in Business Administration, Finance or a related field preferred
  • Minimum of 2-3 years of experience in a similar role, preferably in a corporate finance environment
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook and Word)
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Experience working in a fast paced, rapidly changing and growth minded environment
  • High level of integrity and professionalism
  • Ability to handle multiple tasks and prioritize effectively
